I used "My Maps" to digitize the records of a local water district. It's a google product that's free to use and it would do exactly what you are wanting to do. Once you make the map you can make it available online through internet search, or you can send a link to only the people you want to share it with. If you're really techy you could even put the link in a QR code and post it at the gate.
