Businesses will back up nightly - using an "incremental" backup. This is not a complete back-up of everything, just files that have been changed since last back-up happened. Backup processes will flip the "archive" flag on the file properties, telling the system if it has been backed up or not. When you create or save a file, the "archive flag" is cleared.

On the weekends, businesses will do a complete back-up, then on Monday, that back-up is physically taken off-site for protection.

THREE-TWO-ONE Backup system

THREE COPIES of everything. The original on your computer is #1; a full-backup of your system kept off-site is #2; a copy of the files kept in your office or for easy access is #3.

TWO DIFFERENT TYPES of copies - the hard drive is one type. A thumb drive, external hard drive, or cloud storage make good second format choices.

ONE COPY OFF-SITE - I know of some businesses that include one of their backups in the bank-bag with their cash deposits they drop in the bank's over-night drop deposit. Banks are willing to do this, returning the backup to you the next day. Given tornadoes and hurricanes, you will want to have the farm's back-up in town. Otherwise, one could keep a copy of the backup in a fire-proof box/file cabinet in the machine shed office. Some businesses will make a full back-up on the first of the month, label it with the month and then store it off-site for a full year - disaster recovery at it's best.

SYNOLOGY NAS STORAGE - https://www.synology.com/en-us - A network addressable storage system will also provide confidence. HOWEVER, Synology and similar NAS will be on-line like a local cloud storage - which leaves it exposed to ransom threats. The thing I like about Synology is the synchronizing system - two Synology systems will sync. A popular practice is to assemble two Synology NAS, setting them up on the same local network. Make your full back-up onto one Synology, the system will automagically create a copy on the second Synology. But it eats up your internet connection speed if doing a full migration sync. Once you get that first major sync done, the second unit can be moved off-site. The two will continue to sync. If your local network is fast enough between two buildings on your farm, you can have them separated that way.
